Position: Administrative Assistant – Research

Classification: Full-time (40 hours per week)

Location: Boston, MA

T1D Exchange is an innovative nonprofit organization dedicated to accelerating therapies and improving care for people with type 1 diabetes. We are rapidly expanding and have an exciting opportunity for an Administrative Assistant in research.

The Administrative Assistant will work across Patient Centered Research, Biobank, and Quality Improvement. We are searching for someone who is an organized, detail-oriented planner who enjoys being a “jack-of-all-trades” and understands the nuances of effective communication.

Roles and Responsibilities include:

  • Calendar management: schedule meetings and conference calls, determine priorities, and high-level scheduling
  • Travel management: plan travel (book hotels, flights, and ground transportation) for directors and occasional trips that involve multiple members of the team.
  • Project work: handle high-level projects for the teams. This work varies but may include running financial reports, reconciling invoices and professional fees, and document review
  • Data content management: build out and improve research library including table of contents, file migration, template organization, and both print and digital collection organization.
  • Other duties as assigned.

Basic Qualifications:

  • Minimum of a bachelor’s degree and two years of professional experience in an administrative role.

Position: Contract Review Internship

Classification: 3 month Internship (40 hours per week)

Location: Boston, MA

T1D Exchange is an innovative nonprofit organization dedicated to accelerating therapies and solutions for type 1 diabetes. We are rapidly expanding and have an exciting temporary opportunity for an individual to conduct research contract reviews on the Biobank team.

The Contract Review Intern will work under the direction of the Biobank Director and collaborate with the Biobank team, additional internal team leaders and external site stakeholders. This position provides an opportunity to sharpen research contract review knowledge and experience with a team that excels at regulation, site communication and research knowledge.

Roles and Responsibilities include:

The Contract Review Intern will be responsible for accessing, tracking, analyzing and reporting on various individual site research contracts, including amendments. This will help the Biobank team in categorizing a backlog of research contracts and analyzing compliance language. Responsibilities include, but not limited to:

  • Accessing via a shared drive, individual site research contract agreements, including amendments and any associated supplemental material
  • Analyze contracts for HIPPA compliance language, data sharing and protected health information regulations as well any research applicable governing laws
  • Track contract and amendments including detailed analysis of language per site, per contract. Create a sharable master list of any missing language or regulations that may not be covered by contract wording.

Basic Qualifications:

  • Bachelor’s degree in relevant field of study required, graduate degree or pursuing a graduate degree preferred.
  • Previous experience reviewing contracts, research contract experience preferred
  • Available to work up to 40 hours/week during normal business hours
  • Knowledgeable in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Very strong organizational skills and exceptional attention to detail is required
  • Excellent communication skills, both oral and written
  • Strong ability to follow through with tasks
  • Experience with HIPPA language and research regulations concerning PHI and data a plus

Position: IT Support
Classification: Full Time (40 hours per week)

T1D Exchange is an innovative nonprofit organization dedicated to accelerating therapies and solutions for type 1 diabetes. T1D Exchange is launching a new function as we grow into a research organization and have enhanced the need for a dedicated IT support.

The IT Support team member maintains the computer networks of the organization, providing technical support and ensuring the whole company runs smoothly. IT Support monitors and maintains the company computer systems, installs and configures hardware and software, and solves technical problems.

Roles and Responsibilities include:

  • Installing and configuring computer hardware, software, systems, networks, printers and scanners
  • Establish accounts for new users and assist with password or login problems
  • Troubleshoot and resolve issues with software and hardware
  • Walk colleagues through steps to help them resolve their technical problems
  • Maintain procedures and reports that provide technical support to the entire organization
  • Analyze records and logs to spot underlying trends and potential issue with IT ticketing system
  • Monitoring and maintaining computer systems and networks
  • Responding in a timely manner to service issues and requests
  • Providing technical support across the company (this may be in person or over the phone)
  • Setting up and managing accounts for new users
  • Repairing and replacing equipment as necessary
  • Testing and support the implementation of new technology, solutions, or applications.

Basic Qualifications:

  • Bachelor’s degree in Computer Science, Engineering , a related field, or equivalent work experience required
  • 1+ years of experience in a technical support role
  • Certifications are preferred, but not required

 Position: Marketing Manager

Classification: Full-time (40 hours per week)

Reporting to the Director of Marketing & Communications, the Marketing Manager plays a critical role in the creation and execution of a comprehensive marketing/communications plan to support the goals of T1D Exchange. The position also plays a lead role in the creation and development of all go-to-market strategies and oversees campaign tactics and executions.

Roles and Responsibilities include:

  • Increase awareness and drive demand and preference by planning and managing marketing campaigns across multiple channels, including online and offline media, as well as public relations and events.
  • In  conjunction with program area teams, develop marketing and communications programs that support business strategy.
  • Establish and track metrics; adjust programs as necessary to improve results and conversions.
  • Manage execution of internal and external events aimed at cultivating, engaging, and retaining audiences.
  • Ensure communications are aligned with messaging and brand standards; act as brand ambassador.
  • Utilize best-practice marketing standards–clear calls to action; intuitive, easily navigable content; clear user/participant benefits; and demonstrable ROI.

Position: Project Manager – Quality Improvement (Temporary)

Classification: Full-time (40 hours per week)

We are rapidly expanding and have an exciting opportunity for a collaborative and experienced Project Manager who will assist in managing the organization’s Quality Improvement team deliverables. We seek an exceptional communicator to provide project management skills to a developing team for 6 months.

 Responsibilities include:

  • The individual in this position will be a hands-on project manager to both manage as well as perform tasks in order to bring projects to completion, including the design and implementation of the QI platform site.
  • This position will involve leading a significant project on-time and within scope through all phases from the initiation through the closure.
  • This position will lead project management for developing QI’s platform infrastructure through multiple version iterations, working closely with the external team, the internal staff, IT staff and QI stakeholders.
  • Tracks and communicates progress of projects to key stakeholder, both internally and externally; aligns expectations on all assigned projects to ensure they meet stakeholder expectations; ensures resources are available and present at appropriate times throughout the project lifecycle and communicates to the team and director.
  • Perform agile project management, using scrum as a framework, collaborating with the offshore team and prospective users of the system during the design phases and through development implementation cycles.
  • Communicates across other areas of the T1D Exchange, working closely with other colleagues in Research and Communications, marketing, and design.
  • This position requires administrative skills.
  • Performs other related duties as assigned and special projects, including managing contracts and data use agreements.

Basic Qualifications:

  • A Minimum of a Bachelor’s degree in IT, healthcare, medicine, life sciences or related field with a minimum of two years full-time project management experience. Project Management Certification preferred.
  • Self-motivated and demonstrate excellent judgment in problem solving when developing daily work priorities. This person needs to have creativity as a problem solver.
  • Strong ability to lead IT/data projects for quality assurance and overall integrity of the project- focusing inwardly on the internal consistency of the project; and outwardly on its coherence with infrastructure planning, interfaces with other and technical standards.
  • Experience managing product (website) development, including supporting market research, product requirements, and managing production timetables
  • A flexible management style and a tolerance for ambiguity. This person needs to be able to adapt and move projects forward.
  • Strong ability to work independently, multi-task deadlines, understand and explain complex information to others, and work collaboratively with others.
  • Advanced experience in performing and prioritizing multiple computer based tasks is necessary.
  • Must have effective communication skills, relate positively with community and communicate with utmost tact and diplomacy.
  • Proficiency in Microsoft Office suite and project management tools/ software.
  • Familiar with the working flow of Data Management, Statistics, coordinating the project team, keeping collaborative and team informed of progress. Using project management software to plan and resource stages.

Position: Staff Accountant/Payroll Administrator
Classification: Full Time (40 hours per week)
Location: Boston, MA

T1D Exchange is an innovative nonprofit organization dedicated to accelerating therapies and solutions for type 1 diabetes. We are rapidly expanding and have an exciting opportunity for a Staff Accountant/Payroll Administrator who will maintain and update a variety of payroll data to ensure that employees are paid correctly and appropriate deductions are applied. This individual will also help with various accounting tasks related to the monthly close.

Roles and Responsibilities include:

  • Assist in the preparation of monthly financial statements, and supporting work papers, including but not limited to, journal entries and data entry into QuickBooks
  • Responsible for the timely reconciliation of business bank accounts.
  • Fully responsible for accounts payable, including but not limited to, processing invoices, cutting checks, and managing vendor payments.
  • Backup for many operational tasks within Accounting Department.
  • Any other reporting or special projects requested by CFO.
  • Responsible for bi-weekly payroll processing for employees and maintain employee payroll file in ADP.
  • Responsible for the recording and reconciliation of company-wide employee benefits in collaboration with HR.
  • Reconcile and pay benefit premium invoices for Medical, Dental, and all other voluntary employee benefits.
  • Tracks attendance and available time off for all employees.
  • Communicates Payroll and Finance related dates and updates to the company.
  • Back up to HR in completing verification of employment upon request.
  • Prepares various financial reports as requested by leadership.
  • Perform other duties as assigned

Basic Qualifications:

  • Bachelor’s degree in Accounting or Finance preferred
  • 1-2 years of accounting experience
  • Strong analytical, organizational and problem-solving skills
  • Excellent verbal and written communication skills
  • Ability to handle multiple tasks concurrently and adapt to change while maintaining high productivity and meeting deadlines
  • Strong MS Office skills
  • Experience processing payroll, specifically experience with ADP Workforce Now is a plus
